Go into the conversation prepared to understand, explain, and leave with a clearer next step.
Prepare facts before interpretations
Write down observable information first. Separate what happened, what you think it may mean, and what you still do not know.
Decide what the family actually needs to know
Do not unload every frustration. Identify the information that is relevant to the student and the purpose of the conversation.
Prepare to learn something too
Families may have context that changes how the school interprets what it sees. Ask what has been happening outside school or whether the family is seeing something different.
Keep the tone professional even when the conversation is hard
Listen before reacting. Use specifics. Avoid sarcasm, sweeping labels, and arguments about who cares more.
End with ownership and follow-up
Clarify what the school will do, what the family will do, what the student may need to do, what will be documented, and when the adults will reconnect.

AFTER: what did I learn; what did we agree to; who owns each next step; what needs documentation; when will we follow up?
Useful sentence: We may be seeing this differently, but I think we both want the same thing: for this student to succeed.
